Privacy notice for members of boards, groups, committees and champion networks

The personal data that we collect

The personal data we process about you may include your:

  • attendance at group meetings
  • participation at group meetings in the form of minutes

How we collect your data

We collect your data when you:

  • agree to be a champion in one of our champion networks
  • agree to join one of our groups/committees/boards
  • you attend a group/committee/board meeting

The purposes for which your personal data is being processed

We use your data to publicise the activities of our groups/committees/boards in the form of:

  • membership lists (which may include contact details)
  • minutes (which may be published on this website or on a Basecamp team board)
  • papers
  • agendas
  • terms of reference

The legal basis for processing

Data protection legislation requires that all processing of personal data is undertaken under one or more of a set list of conditions. Unless stated otherwise our processing of personal data for groups, committees, boards and champion networks is done under the following condition:

Processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller.

How long we keep your data for

Your personal data will only be held for so long as it is required by us to carry out our role as part of the statistical authority.

Group, committee and board secretariats are encouraged to regularly review their membership lists and proactively remove the personal data of inactive members. If you are moving organisation or no longer wish to participate in a given group, committee or board, please notify the respective secretariat. In some cases you may be able to remove yourself from the membership and contact lists.

Who we share your personal data with

Some of the documents we publish on the website may contain the personal information of group members. These documents are available to all visitors to the website for download and distribution.

Your rights as a data subject

As a data subject (someone whose personal data we hold) you have rights available to you under data protection legislation. Our use of a “public task” legal basis does not impact your rights as a data subject. If you want us to stop processing your personal data (for example removal from a contact list), please let the respective database owner know, or remove yourself if possible.

You have the right:

  • to be informed about the personal data we hold about you
  • to request access to the data we hold about you
  • to amend any wrong or inaccurate data we may hold about you

  • to request that we process your data on a restricted basis, in some circumstances
  • to not be subject to an automated decision-making process
