Privacy guidance for using Confluence sites

Analysis Function boards, groups, committees and networks currently run one Confluence site:

  • Data Linkage Champion Network

Please consider any content you post on the above Confluence sites to be accessible to everyone within the Civil Service. Although sign-up to Confluence sites is controlled on a person-by-person basis for non-ONS staff, it cannot be guaranteed that access will be limited to members of the board, group, committee or network who own the site. In particular, all ONS staff may be able to access these sites. Additionally, these sites may be subject to Freedom of Information (FOI) requests.

Therefore, please follow the below guidance:

  • Abide by the Civil Service Code.
  • Do not post official or official sensitive content.
  • Do not post your own personal information unless you are happy for it to be in the public domain.
  • Do not post anyone else’s personal information without their prior agreement.
  • Do not post pre-release statistics or analysis that cannot be shared across the Civil Service.

You can upload documents onto Confluence sites that you have access to. These can include meeting minutes, meeting recordings and guidance documents (as long as they do not break the rules already mentioned). However, please only do this after speaking to the owner of the Confluence site in question (listed on the site’s homepage).

Names can be published in meeting minutes and recordings, alongside the department the person works for, as long as these people are happy for their name and department to be shared in this way.

Members of champion networks should be aware of this already as their name and department is published on their champion network page. Champion network members should also be aware of the privacy notice for champion network members.

Do not create your own pages in a Confluence site without speaking to the owner of the site (listed on the site’s homepage).

If you leave your post and no longer work in government, please email the boards, groups, committees and/or networks and they will remove you from the relevant Confluence sites.
